Musicopia Position Description – Program Manager

Position: The Program Manager assists the Program Director in implementing all in-school and after-school programmatic initiatives while maintaining the technological support of those initiatives. Musicopia provides music education programs primarily to underserved schools and communities in the Greater Philadelphia Region.

Reporting Relationship: The position reports to the Program Director

Working Environment and Hours per week: Work virtually from home office __ hours/week. Access to a reliable car is a must, and hours include some evenings and weekends.  Position includes site visits to schools.

Primary Areas of Responsibility:

In-School and After School Programs

Coordinate scheduling of Musicopia programs (residencies, assemblies, workshops, F.A.M.E. program) for grant-funded projects and “full-pay” programs
Coordinate partner schools’ community concerts, field trips, and additional support, including instrument donations and purchases through our Gift of Music program
Attend yearly planning meetings with schools
Provide schools with confirmation and evaluation packets and coordinate evaluation procedures (surveys, program observation, collection)
Coordinate with schools for media release forms, media samples, and thank-you notes
Attend school and community programs as a Musicopia representative, observe, evaluate and take appropriate action to improve the quality of the programs
Collaborate with grant writer to develop and edit project budgets, narrative, and final report and ensure that grant-funded program requirements are met
Update project budgets as needed throughout the year
Assist Program Director in developing and improving the artistic and educational quality of program offerings through recruitment of teaching artists
Work with Program Director to expand earned income program initiatives
Assist in developing, evaluating, and adjusting program and artist payout pricing models
Maintain artist calendars and send out schedules weekly
Respond to program inquiries

Administrative and Other Responsibilities

Manage Salesforce database to ensure accurate booking and tracking of all programs
Continue to develop initiatives to utilize Salesforce and other applications to improve efficiency and accuracy of Programming
Update annual Letter of Agreement and Teaching Artist Addendum as needed
Manage all personnel documentation (W9, clearances, letters of agreement) for Musicopia teaching artists and coaches
Coordinate annual Musicopia teaching artist meeting
Assist in analyzing end of year data for inclusion in Annual Report and Audit
Maintain invoice requests for paid programs
Collect and send payroll information monthly to Finance Director for Musicopia artists
Assist Marketing Manager and Program Director in identifying and providing content for marketing initiatives (brochures, direct mail, e-blast, social sites)
Maintain and update programming sections of the Musicopia website
Communicate with key stakeholders (artists, schools, program committee members, etc.)
Other administrative duties as needed


Bachelor’s degree in related field required. Must be highly proficient with database technology and work comfortably in a digitally-based virtual environment. Applicant must have outstanding interpersonal and organizational skills.  Must be self-motivated, detail-oriented, well-spoken and friendly.  Candidates with a background in music or education are preferred.


Salary commensurate with experience.  This position is part time, beginning at 20 hours per week, with the potential to become fulltime.
