Data Coordinator: Communities in Schools, Philadelphia

JOB SUMMARY:

The Data Manager is an exempt, Central Office position under the direction of the President/CEO. The primary purpose of this position is to provide technical leadership and management of all routine and requested data, as well as quality assurance of data sets. The Data Manager serves as a liaison between Communities In Schools of Philadelphia, the School District of Philadelphia (SDP) – Early Childhood Education, School Sites, Philadelphia County Assistance Offices (PCAO), CWDS Management Systems, Center for Schools and Communities, Philadelphia Youth Network (PYN) other partners.

PRIMARY RESPONSIBILITIES INCLUDE:

  • Plan and execute all routine and requested data collection and reporting on behalf of CISP, programs, partners and various funding agencies as required;
  • Supervise staff in Data Department;
  • Coordinate the development of supportive supervision and data auditing guidelines for all routine data collected at school-based and other sites;
  • Coordinate and supervise routine and requested data auditing;
  • Monitor and maintain all student, organizational, and other relational databases;
  • Monitor and maintain website content with specific attention on all data related content;
  • Develop, modify and maintain various databases;
  • Develop and present monthly programmatic and other reports as needed;
  • Serve as liaison for School-based staff and Phila. County Assistant Office (PCAO);
  • Act as point of contact between school-based staff, CSC, and CWDS;
  • Train new hires on data collection and systems;
  • Ensure the accuracy of CISP’s operational database (CIS-DM) and various other funder-required databases;
  • Input and update student, school site, and organizational data on CIS-DM and various other funder-required databases;
  • Enter all required data into CIS-DM and other various funder-required databases;
  • Design, test, maintain, and enhance surveys, data collection methods and reporting procedures;
  • Provide helpdesk to survey participants, site administrators, and other programmatic staff;
  • Process, edit, and track survey responses and other responses related to data collection development;
  • Upload/download data into CIS-DM and various other funder-required databases;
  • Maintain documentation of, and adhere to data collection polices and procedures;
  • Serve as data liaison between programmatic and senior staff, and CISP and funding agencies;
  • Process and report various eligibility requirements;
  • Other related duties as required.

REQUIRED KNOWLEDGE AND SKILLS:

  • Excellent organizational and written skills;
  • 2-4 year’s experience in planning, developing, and executing data collection and reporting activities;
  • 2 years experience in program management (academic, social service, workforce development, or other similar concentration);
  • Strong Customer Service focus (internal and external stakeholders);
  • Data analysis and report writing;
  • Experience and ability to manage complexities of relational databases;
  • Project management;
  • Experience with supervisory role, supervising staff;
  • Experience in conducting qualitative and quantitative surveys;
  • Ability to work efficiently within deadlines;
  • Ability to perform research, when required;
  • Ability to prioritize and process multiple tasks simultaneously;
  • Knowledge of various social services programs impacting and advocating for adolescents preferred
  • Excellent oral and written communications skills;
  • Computer literacy and working knowledge of Microsoft Office, Excel, Access, FileMaker Pro, other relevant databases (MAC and PC);
  • Preferred web/social media knowledge.

QUALIFICATIONS:

  • Bachelor’s degree from an accredited college or university.
  • 2-4 years related work experience.
