Family Promise NNCC is seeking a Full-Time Director of Operations     

Family Promise of Northern New Castle County (FPNNCC) prevents and ends homelessness for families by engaging faith-based congregations, volunteers and donors. We envision a community in which every family has a home, a livelihood and the resources for lasting independence.

Overview of Position:

Family Promise NNCC is expanding to help even more families with children. This position is essential to our growth and sustainability. This person will have internal and external responsibilities. The Director of Operations will ensure the administrative effectiveness of the organization and help to maintain our positive reputation in the community. This position has leadership growth opportunity.

Key Responsibilities:

Community Relations:

·      Work in conjunction with ED to have a web presence, including social media and e-blasts.

·      Assist with fundraising and special events.

·      Ensure appreciation/thank you notes/tax receipts/phone calls are completed in a timely fashion.

·      Provide tours, information as needed.

·      Make decisions in ED’s absence with Board/ED approval.

Financial:

Expected:

·      Maintain accounting systems capturing pledges, billings and receipts.

·      Tracking spending for guest families.

·      Serve as main contact for annual audit and insurance policy.

Desired:

·      Support Executive Director and team to develop individual program budgets; work with case management team to operate within grant reporting guidelines.

·      Prepare checks to be signed, monitor petty cash, and prepare bank deposits.

·      Grant-writing and receipts/reporting.

Management/Administrative:

·      Answer phone: prospective donors (financial, item donations), prospective volunteers.

·      Answer door and collecting new donations, greeting families, etc.

·      Data entry into cloud-based systems of new donors, contacts and donations/grants; ensuring accuracy, updated regularly and reportable.

·      Opportunities to manage staff & expanding supervisory duties as Family Promise NNCC grows.

Day Center Management:

·      Ensure inventory is up-to-date and facilities are maintained in good working order.

·      Manage the processes by which FPNNCC secures inventory, working in conjunction with the Director of Community Engagement for supply drives or volunteer groups as needed.

·      Solicit outside support as needed, contacting vendors or volunteers as appropriate.

·      Respond to emergencies/incidents swiftly and compassionately.

The Ideal Director of Operations will possess the following knowledge, skills and abilities:

  • Outstanding organizational, judgment and problem solving skills. Solid intuition is a must.

·      Advanced Microsoft Office skills.

  • Database management experience. FPNNCC uses Quickbooks, Salesforce and CMIS.
  • Excellent communication skills both verbal and written.
  • Track record of setting up systems to get things done.
  • Ability to self-manage and maintain focus on multiple projects and deadlines at once.
  • Fundraising experience and Budget development/oversight.
  • A commitment to high professional ethical standards, discretion, and confidentiality.
  • Able to lift up to 25 pounds.

·    Have a Bachelor’s Degree.

·    Have experience managing staff and major initiatives. S/He will add value to this expansion phase of our organization’s development.

·    Ability to remain flexible; can provide his/her own structure while organization is expanding.

Accountability:

The Director of Operations reports to the Family Promise NNCC Executive Director and works collaboratively with the Director of Community Engagement who oversees volunteers and the case management team.

Work Environment & Managing Success:

·      Occasional lifting of materials of up to 25 pounds is necessary.

·      Family Promise is comprised of a small staff and a large pool of volunteers.

·      This position’s success is measured by: fundraising benchmarks, expanding brand/marketing reach, improved operational efficiencies, the expansion of FPNNCC, and increased success in keeping families together in a safe environment.
