Program Manager: Students Run Philly Style

General Responsibilities –

The Students Run Philly Style Program Manager will be responsible for all programmatic activities related to Students Run Philly Style, including but not limited to mentorship through long distance running; youth enrollment, race registrations, event transportation and program event management. The Program Manager will oversee the coordination and execution of Students Run Philly Style events, and will ensure volunteer staffing needs, supplies and transportation for Students Run Philly Style teams.  Events include, but are not limited to, race expos, training runs and races. The Program Manager of Students Run Philly Style will also coordinate correspondence for Students Run Philly Style teams, from point of recruitment through completion of season. In addition to above, the Program Manager will be an integral part of the team that is responsible for strategizing program improvement and building and maintaining partnerships that are beneficial to students, volunteer running leaders, staff, and the program as a whole.

Primary Tasks and Responsibilities

Mentorship through long distance running

  • Ensure integrity of program in all program activities
  • Provide timely and courteous correspondence for all interested students, families and volunteers
  • With program staff, manage innovation partnerships and opportunities

Program Internal Event Logistics

  • Serve as part of team responsible for designing and implementing special events
  • Lead day-of coordination and logistics for internal running events
  • Secure sites, partners, catering and supplies, working with Program Director to stay within budget
  • Recruit, coordinate and serve as point person for volunteers

Enrollment

  • During Enrollment periods:
  • Open enrollment period in volunteer workflow database
  • Create and distribute database logins for new teams
  • Collect student and leader enrollment paperwork from each team
  • Remind leaders of enrollment deadlines
  • Review and approve enrollment documents
  • Identify teams with missing or incomplete paperwork
  • Reach out to teams to secure missing or incomplete paperwork
  • Assist teams with uploading any paper enrollment forms
  • Ongoing:
  • Support teams with database management
  • Work with software developer to maintain database
  • Respond to general inquiries from parents and students

Equipment distribution:

  • Organize the distribution of SRPS equipment (e.g. program shirts and sneakers)

External Events Logistics

  • Coordinate Race Registration for all external races (up to 8 per year)
  • Order and organize all race day supplies and partnerships
  • Ensure all registered runners are cleared to run
  • Prepare Event Day packet/info list for all staff
  • Coordinate race-day transportation and race expos logistics

General Operations

  • Order and inventory program supplies, working with Program Director to stay within budget
  • Maintain program files and documents to include quarterly shredding when necessary
  • Organize and Maintain inventory of product in Students Run storage areas

Status

  • Full Time
  • Includes weekends and some evenings (comp time accrued)

Reports to

  • Program Director

Qualifications

  • Passion and belief in mission
  • Ability to manage multiple tasks
  • Ability to communicate effectively with multiple audiences
  • Strong organizational skills
  • Strong problem-solving skills
  • Computer proficient (word, excel, access, etc.)
  • 2-3 years experience in program coordination and implementation
  • 2-3 years experience with youth
  • Experience in long distance running a plus
  • Proficiency in Spanish a plus
  • BA or BS
