Position Description Overview

Reporting to the Director of Development, the Development Coordinator supports the full range of Asian Arts Initiative’s fundraising activities, with a particular focus on development operations, donor data and analysis, individual giving and stewardship, grants administration, fundraising events, and volunteer coordination.

As part of a two-person Development team, the Development Coordinator works extensively within AAI’s Salesforce CRM to ensure Development data is accurate, complete, and useful; processes and acknowledges gifts; tracks donor and prospect engagement; coordinates grant deadlines and reporting requirements; supports individual giving campaigns and donor cultivation; and produces reports and analysis that inform fundraising strategy.

This position is well suited to an organized, detail-oriented development professional who enjoys working with data and systems as much as working with people. The successful candidate will be comfortable managing recurring processes independently, identifying gaps or inconsistencies, and helping develop more effective systems as AAI expands its fundraising program.

As a mission-driven, culturally specific community arts organization, AAI seeks a Development Coordinator who approaches fundraising and donor engagement in ways that reflect the organization’s commitment to racial equity, community, and the experiences of Asian American, BIPOC, immigrant, LGBTQ+, and historically marginalized communities.

Key Responsibilities

Development Operations, CRM & Data

●  Maintain accurate and complete donor, prospect, institutional, event, gift, and engagement records in Salesforce.

●  Process gifts and maintain complete and accurate contribution records, including appropriate documentation, coding, and donor information.

●  Conduct regular database audits and resolve duplicate, incomplete, or inconsistent records.

●  Create reports, dashboards, lists, and data analyses to support fundraising strategy, donor cultivation, campaigns, events, grant reporting, and financial reconciliation.

● Identify data gaps, inconsistencies, and opportunities to improve Development tracking and workflows. Individual Giving & Donor Stewardship

●  Prepare timely donor acknowledgements, tax receipts, and other stewardship correspondence.

●  Maintain donor stewardship and cultivation plans and track correspondence, meetings, solicitations, and other touchpoints in Salesforce.

●  Support annual and special giving campaigns, including list preparation, segmentation, mailings, digital appeals, and response tracking.

●  Conduct donor and prospect research and assist with identifying prospective individual, corporate, and institutional supporters.

●  Prepare donor histories, prospect profiles, briefing materials, and other information for meetings and solicitations.

●  Support donor cultivation and stewardship activities, including communications, visits, small gatherings, and special events.

Grants & Institutional Giving

●  Maintain AAI’s institutional funding calendar and track proposal, reporting, payment, and renewal deadlines in Salesforce.

●  Maintain grant records, agreements, budgets, reporting requirements, and supporting documentation.

●  Track grant deliverables and reporting requirements and proactively flag upcoming deadlines or information needs.

●  Coordinate with Program, Finance, and other staff to gather information needed for proposals and reports.

Description of Role: 

This Care Manager conducts ongoing assessment, service planning, service arrangement, follow-up, and reassessment to disabled and/or chronically impaired older adult participants.  Work involves evaluating the medical, social, and psychological needs and their effect on the functioning of an individual to offer services to improve quality of life.

The Care Manager I (CM I) role is a participant advocate as well as the gatekeeper of service provision. Work includes collaborating with other agencies to refer individuals for additional services and assisting individuals with utilizing available community resources to meet their needs. Work is performed in accordance with State and Agency mandates and is monitored and reviewed by the Supervisor through regular check-ins and system reports.

Required Education and Experience: 

  • BA/BS/BSW or MA/MS/MSW including at least 12 college-level credit hours in sociology, social welfare, psychology, or gerontology.
  • Minimum one-year work experience in social work or care management experience in the fields of aging, behavioral health, or disabilities.

Requirements

Description of Role: Reporting to the Director of Planning in the Planning Department, the Quality Improvement Manager leads PCA’s organization-wide quality improvement strategy and directly supervises a team of quality improvement analysts. The manager uses data evaluation, research, process analysis, and collaboration with program leadership to recommend strategic and operational improvements to senior and executive leadership. This work supports federal and state program compliance, improves service outcomes and stakeholder experience, strengthens program standards, and promotes efficient operational performance.

Required Education and Experience:

  • Bachelor’s degree required; master’s degree in business administration, public health, public administration, social work, data analytics, or a related field preferred.
  • At least five (5) years of progressively responsible experience leading continuous quality improvement, performance measurement, program evaluation, data analysis, process improvement, or related work.
  • Demonstrated experience supervising, developing, and leading a team, including setting priorities, coaching staff, evaluating performance, and delivering results across multiple projects.
  • Strong knowledge of statistical concepts, data-quality assessment, sampling, trend analysis, performance measurement, and applied research methodologies.
  • Experience developing analytical approaches selecting fit-for-purpose tools to prepare and analyze raw data, map and evaluate business processes, identify inefficiencies and root causes, establish baselines and performance measures, monitor progress, inform business decisions and organizational strategy, and recommend operational improvements.
  • Experience with process mapping, root cause analysis, or comparable continuous improvement methodologies.
  • Demonstrated proficiency in evaluating, selecting, and using business intelligence, statistical analysis, data-visualization, and process-analysis tools, including Power BI or comparable analytical software.
  • Demonstrated ability to synthesize complex analytical findings, risks, and recommendations into concise, decision-ready presentations and written reports for senior and executive leadership.
  • Experience with clinical, administrative, or program operations in aging services, disability services, healthcare, human services, or a related field preferred.
  • Training or practical experience in Lean or Six Sigma preferred.
